Inventory your processes and identify bottlenecks.

A challenge for every company is effectively managing its resources, including both products/services and internal processes/procedures. Inventory management is no longer limited to just physical goods on shelves or data in IT systems. Today, more and more businesses are realizing that monitoring and assessing internal organizational processes is equally important. A thorough understanding and control of these processes can have a significant impact on the efficiency, productivity, and ultimately, the success of the entire organization.
To achieve a holistic understanding of an organization's processes, it is essential to meticulously gather data from various areas of the company's operations. This includes how internal procedures function, the flow of information and documents, interactions between teams, and operational efficiency. Collecting this data allows for a precise understanding of how the organization operates and enables the identification of areas for optimization and improvement. As a result, decisions are made consciously, and responses to changes in the business environment are more accurate.

How to do it?

By utilizing analytical workshops conducted using the Event Storming technique, you will be able to diagnose your organization. This method, developed by Alberto Brandolini, allows for a quick and effective understanding and identification of business processes, as well as pinpointing non-optimal areas. During the workshops, you will use only the necessary notation elements specified within the framework of the mentioned technique:
Event - activities performed in the process,

Actor identifying the performers
czynności,

External System systems and tools in which the activities are performed,

Hot spot unknowns and/or points
requiring optimization
on the client's side.

How do we conduct the workshops?

What will be the outcome of our work?

A comprehensive document that details key processes or procedures according to the template we've developed. In defining these processes, we focus on the smooth flow of information, creating a cohesive system that aligns perfectly with the needs of your company. We don't limit ourselves to just analyzing the functionality of the systems involved in the processes or the data—they aim to create a complete picture that will enable you to effectively manage and improve the operations of your organization.

Which inventory should be commissioned?

Process

A business process is a sequence of interconnected actions or steps aimed at achieving a specific outcome or goal, such as selling a product, providing customer service, or processing an order. Business processes are outcome-oriented—they have a clearly defined starting point, a set of actions that need to be performed, and an endpoint. Examples of business processes include the "Customer Order Process" or the "Employee Recruitment Process."

A process describes what needs to be done to achieve a specific outcome on a macro scale (e.g., handling a customer order).

Procedure

A procedure is a detailed description of how to perform a specific task or action within a business process. It includes specific steps, instructions, guidelines, and standards that must be followed by employees. A procedure is often more detailed and specific than a process—for example, the "Customer Complaint Handling Procedure" may be part of a broader "Customer Service Process."

A procedure is a detailed description of how specific tasks should be carried out within a given process (e.g., step-by-step instructions on how to verify an order).

Process Inventory
  • Business Process Documentation: A detailed description of processes, including their purpose, scope, inputs and outputs, key performance indicators, responsible individuals, and interdependencies between processes.
  • Process Map: Diagrams of business processes that visualize the workflow, key decisions, and checkpoints.
  • Process Optimization Recommendations: Suggestions for improvements, elimination of bottlenecks, and cost reduction.

This type of analysis is particularly useful for organizations that do not have process documentation, have process documentation that is outdated, are considering process optimization or automation, are growing and need updates, or require consultation.

Procesdure Inventory
  • Business Procedure Documentation: A compilation of all or selected procedures in effect within the organization, including their purpose, scope, steps, and responsible individuals.
  • Procedure Map: A visual representation of the interconnections between procedures in the organization, showing how these procedures influence each other.
  • Compliance Analysis Report: An assessment of whether existing procedures meet the internal requirements of the organization and legal regulations.
  • Recommendations for Changes: Proposals for improvements or modifications to procedures that could enhance efficiency or compliance.

This type of analysis is particularly useful in organizations where there is high employee turnover, a significant change has occurred at the management level, inconsistencies in task execution have been observed, or reports indicate a high number of customer service-related complaints.
